Kairos Global Nexus
Terms & Conditions
Effective Date: 19 October 2026 · Last Updated: 19 October 2026
1. Introduction
These Terms & Conditions govern use of www.kairosglobalnexus.com and travel services requested or booked through our website, WhatsApp, telephone, email or office. Services may include domestic and international tour packages, flights, hotels, visa assistance, sightseeing, transfers, transport and customised travel arrangements.
By using our website, requesting a booking or confirming a travel service, you agree to these Terms and any specific booking terms disclosed before confirmation.
2. Enquiries and Booking Confirmation
Travel enquiries, quotations and itineraries are subject to availability and confirmation. A booking is confirmed only when required payment has been received, relevant suppliers have confirmed availability, and Kairos has issued written confirmation or another confirmation specified for the service. An enquiry, quotation or provisional itinerary does not guarantee a reservation.
Check traveller names, dates, destinations, room arrangements, flight details, inclusions and exclusions on confirmation documents promptly and report errors.
3. Prices, Inclusions and Exclusions
Prices depend on the itinerary, dates, traveller count, occupancy, selected services, availability and taxes or fees stated in the quotation. Unless expressly included in writing, prices may exclude passport and visa fees, insurance, meals or activities not listed, personal expenses, tips, baggage fees, optional services and taxes or supplier fees not included in the quote.
Additional charges will be disclosed before you agree to the additional service or payment, except where a third party or authority imposes a charge after confirmation that is legally payable under the booking terms. Offers are subject to stated conditions and availability; prices are not guaranteed until written confirmation.
4. Payments
Pay the amounts and instalments stated in your quotation, invoice or booking confirmation using payment methods authorised by Kairos. Retain receipts and transaction references. If payment fails, is reversed or is not received by the deadline, an unconfirmed booking may be suspended or cancelled after notice, subject to applicable law and booking terms. Outstanding balances must be paid by the stated due date.
5. Customer Cancellations
Cancellation requests must be submitted in writing to official@kairosglobalnexus.com or through the official channel used for the booking. Include the booking reference, traveller name and requested cancellation details. The cancellation date is ordinarily the date the written request is received; requests outside business hours may be processed the next working day, subject to supplier deadlines.
Applicable cancellation charges and supplier penalties will be disclosed in the quotation or booking confirmation before the booking is confirmed. Charges may vary by airline, hotel, visa provider, package and supplier conditions. Non-refundable supplier costs may be deducted only where properly disclosed, applicable to the booking and legally recoverable. No cancellation charge will be imposed in a manner prohibited by applicable consumer protection law.
6. Refunds
After a cancellation or refund request has been reviewed and the refundable amount determined, Kairos will ordinarily process an approved refund within 14 working days. Refunds will generally be returned through the original payment method where practicable. The amount may reflect disclosed cancellation charges, non-refundable supplier costs and other lawful deductions.
Where a refund depends on a supplier returning funds, we will inform the customer if the delay affects processing and provide updates where reasonably practicable. Bank, card, gateway and financial-institution processing times may be outside Kairos’s control. If Kairos cancels a service for reasons attributable to Kairos and no suitable alternative is accepted, the customer will receive the refund or other remedy required by law and confirmed booking terms.
7. Changes and Rescheduling
Changes to names, dates, destinations, room categories, flights or other details are subject to availability and supplier approval. Change fees, fare differences and other applicable charges will be communicated before a requested change is finalised where practicable. A change may be treated as a cancellation and new booking if required by supplier rules. No change is confirmed until written confirmation is issued.
8. Third-Party Travel Providers
Airlines, hotels, resorts, transport operators, visa partners and other providers independently determine availability, operational rules and service conditions. Kairos will take reasonable steps to coordinate confirmed services but does not control independent suppliers’ operational decisions, schedules, policies or performance. If a supplier changes or cancels a service, Kairos will communicate relevant information received and assist with available alternatives or remedies under applicable supplier conditions and law.
9. Visa and Travel Documentation
Visa assistance is administrative support and does not guarantee visa approval, entry into any country or a particular processing time. Decisions are made by the relevant embassy, consulate, immigration authority or government body. Customers are responsible for accurate information and genuine documents, passport validity, required visas and permits, and destination entry requirements. Disclosed third-party fees may be non-refundable where permitted by law.
Kairos is not responsible for losses caused by false or incomplete traveller information, failure to obtain required documents or government decisions outside Kairos’s control. This does not exclude responsibility imposed on Kairos by law.
10. Traveller Responsibilities
Customers must provide accurate details matching travel documents, check booking confirmations and promptly report errors, arrive at airports and meeting points on time, comply with immigration, customs, safety and local laws, follow provider rules, and inform Kairos of special requirements in sufficient time. Additional costs caused by inaccurate information, missed departures, late arrival or failure to meet travel requirements may be payable where lawful and properly disclosed.
11. Itinerary Changes and Unforeseen Events
Travel may be affected by severe weather, natural disasters, public-health emergencies, government restrictions, strikes, security incidents, transport disruptions or other events beyond reasonable control. Kairos will make reasonable efforts to communicate material changes and assist with alternatives where available. Refunds, credits, rescheduling and additional expenses depend on the circumstances, supplier conditions, applicable law and confirmed booking terms. Mandatory customer rights remain unaffected.
12. Website Use and Intellectual Property
Website content, branding, logos, text, designs, photographs, itineraries and other materials are owned by or licensed to Kairos or relevant rights holders unless stated otherwise. You may use the website for lawful personal travel enquiries and bookings. You must not misuse the website, attempt unauthorised access, interfere with its operation, submit fraudulent information or reproduce protected material without permission. Third-party trademarks remain the property of their respective owners.
13. Limitation of Liability
To the extent permitted by applicable law, Kairos will not be liable for indirect or consequential losses arising from events outside its reasonable control or independent acts or omissions of third-party suppliers. Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including applicable consumer rights, fraud, wilful misconduct or other non-excludable obligations.
14. Complaints and Grievances

Before publication, insert the designated grievance officer’s full name and designation where required by applicable law.
15. Governing Law and Disputes
These Terms are governed by the laws of India. Subject to applicable consumer-protection laws and mandatory jurisdictional rules, disputes may be brought before a court or competent forum with jurisdiction under applicable law. Nothing prevents a consumer from approaching a competent consumer commission or other authority where permitted by law.
16. Changes to These Terms
Kairos may update these Terms to reflect changes in services, business practices or legal requirements. The latest version will be published on the website with an updated date. Changes will not retrospectively remove rights available under applicable law or unlawfully override specific written booking terms.
